FlowLine – Terms & Conditions

1. Interpretation & Scope

1.1. These Terms & Conditions govern the use of FlowLine Pilates Studio, operated by OCEANO PIONEIRO UNIPESSOAL, LDA, with legal entity identification number 514 483 784.

1.2. By registering and participating in any class, session, or activity at FlowLine Pilates Studio, clients agree to comply with these Terms & Conditions.

1.3. These Terms, together with FlowLine Pilates Studio’s Privacy Policy, constitute the entire agreement between the Studio and its clients.

1.4. The Studio reserves the right to modify these Terms at any time. Any changes will be effective upon posting in the studio or on FlowLine’s official communication channels.

2. Membership & Registration

2.1. To become a member of FlowLine Pilates Studio, clients must complete an online registration form.

2.2. Registration is subject to acceptance by FlowLine Pilates Studio, which reserves the right to refuse or revoke membership at its discretion.

2.3. Membership is available to individuals 18 years and older. Minors aged 16 or 17 may attend classes with written parental or guardian consent and must be accompanied by a guardian if required by the studio.

2.4. FlowLine Pilates Studio reserves the right to suspend or terminate any membership due to non-compliance with these Terms or any behavior that disrupts the studio environment.

3. Studio Access & Usage

3.1. Access to the studio is only permitted with a valid booking.

3.2. Guests or third parties may not enter the studio unless previously authorized by management.

3.3. Clients must respect the studio’s operating hours, which are subject to change and will be communicated in advance.

3.4. For hygiene purposes, clients are required to bring their own towels when using Pilates apparatus.

3.5. The studio is a pet-free environment, except for certified assistance dogs and hypoallergenic breeds.

4. Booking, Cancellation & Expiry Policy

4.1. Classes must be booked in advance through FlowLine’s online booking system.

4.2. Clients may reschedule or cancel group classes with at least 12 hours’ notice to avoid being charged.

4.3. Clients enrolled in a monthly membership will be charged for all late cancellations and no-shows at the single-class rate.

4.4. Reformer Class Pass Expiry Periods:

• Single Class: Expires 14 days from purchase.

• 5-Class Pass: Expires 2 months from purchase.

• 15-Class Pass: Expires 3 months from purchase.

• 30-Class Pass: Expires 6 months from purchase.

• Evaluation class: Expires 1 month from purchase.

• Intro Offer (1 evaluation + 2 group beginner classes): Only available for new members of the studio.

4.5. Private Session Expiry Periods:

• Single Private Session: Valid for 1 month from purchase.

• Duo Private Session: Valid for 1 month from purchase.

4.6. Matwork Class Pass Expiry Periods:

• Single Matwork Class Pass: valid for 14 days.

• 5 Matwork Class Pass: valid for 40 days.

4.7. Monthly recurring memberships require a minimum 3-month commitment and automatically renew each month unless canceled with at least 4 days' notice before the next billing cycle.

5. Payment & Refund Policy

5.1. Payment for all classes, memberships, and packages must be made at the time of booking.

5.2. FlowLine Pilates Studio does not offer refunds for purchased services. However, refunds may be considered in cases of medical necessity, provided that a valid medical certificate from a licensed healthcare provider is submitted.

5.3. Memberships, class passes, and private session packages are non-transferable and may not be shared.

6. Health & Safety

6.1. By participating in classes at FlowLine Pilates Studio, clients confirm they have no medical conditions that would prevent them from engaging in physical activity.

6.2. Clients must inform the instructor of any injuries, medical conditions, or health concerns before each session.

6.3. Pregnancy Policy:

• Pregnant clients must provide a doctor’s note confirming their fitness for Pilates.

• Clients in their first trimester may attend pre/postnatal classes or beginner sessions if they were practicing Pilates regularly before pregnancy.

• Clients in their second trimester and beyond will be required to join private or specialized pre/postnatal sessions.

6.4. Clients under the influence of alcohol or drugs will not be permitted to attend classes.

6.5. Clients must follow all instructor’s guidance during sessions and may not use studio equipment unsupervised.

6.6. Any accidents or injuries occurring on the premises must be reported immediately to a staff member.

7. Studio Etiquette

7.1. Clients must arrive 5-10 minutes before class to ensure a smooth session starts. Late arrivals may not be allowed.

7.2. The use of mobile phones is not permitted during group classes.

7.3. Clients are responsible for cleaning and sanitizing the equipment after use. Disinfectant wipes and sprays are provided.

7.4. Proper athletic attire is required. Pilates grip socks are recommended.

7.5. FlowLine reserves the right to deny entry or remove any client who disrupts the studio environment.

8. Personal Data & Privacy

8.1. FlowLine Pilates Studio collects and processes personal data in accordance with GDPR regulations.

8.2. Client information is used exclusively for class management, communication, and operational purposes and will not be shared with third parties.

8.3. Clients who wish to update or remove their personal data may contact FlowLine Pilates Studio at flowline.pilatesstudio@gmail.com.

9. Studio Rights & Policy Updates

9.1. FlowLine Pilates Studio reserves the right to:

• Modify the class schedule, instructors, or services as needed.

• Adjust membership pricing and terms with prior notice.

• Restrict access or terminate memberships due to non-compliance with these Terms.

9.2. Any policy changes will take effect upon posting at the studio or via official communication channels.

10. Liability Waiver & Release

10.1 Acknowledgment of Risk

By participating in any class, private session, or activity at Flowline Studio, you acknowledge that Pilates, including the use of Reformer and other apparatus, involves physical exertion and carries inherent risks of injury. While our instructors provide guidance to ensure safe movement, you assume full responsibility for your participation and understand that Flowline Studio cannot guarantee injury prevention.

10.2 Assumption of Responsibility

You confirm that you are in good health and physically capable of engaging in Pilates sessions. You agree to modify exercises as needed, stop any movement that causes discomfort or pain, and inform the instructor of any concerns. Flowline Studio and its instructors are not responsible for assessing your physical condition or fitness level.

10.3 Medical Disclosure

You agree to disclose any injuries, medical conditions, or physical limitations before participating in any class. Flowline Studio and its instructors do not provide medical advice, diagnosis, or treatment. You are responsible for consulting with a medical professional before starting or continuing Pilates.

10.4 Release of Liability

By signing up for and participating in classes, you waive, release, and discharge Flowline Studio, its owners, instructors, employees, and affiliates from any claims, liabilities, or demands arising from injuries, loss, or damages incurred during or as a result of participation, whether caused by negligence or otherwise.

10.5 Personal Belongings

Flowline Studio is not responsible for the loss, theft, or damage of personal belongings while on the premises.

10.6 Emergency Medical Consent

In case of an emergency, you authorize Flowline Studio and its staff to seek medical assistance on your behalf. You accept full financial responsibility for any medical treatment received.

By continuing to use our services, you acknowledge and agree to the terms outlined in this Liability Waiver & Release.
